Assistant Director/Asst. University Registrar (Finance)



The Student Success division at the University of South Florida (USF), is comprised of 60 departments, providing students with academic support, engagement opportunities, health & wellness services and enhancement of educational experience. The Office of the Registrar (URO) empowers student success and academic integrity by expertly managing enrollment, academic records, scheduling, and graduation processes, while upholding policies, regulations and statutes for the entire university community.

This position leads the development and execution of all functions related to course and curriculum building for One USF. Ensures maintenance of and accurate, timely processing of updates to the student information systems course catalog, degrees, departments, programs and CIP codes. Demonstrates initiative and extensive independent judgment to gather and analyze relevant information and research, while leading team in verification and coding of curricular updates. This position serves as an Office of the Registrar liaison with academic and other student service units to facilitate Banner catalog and curriculum updates for the university. This position performs data queries and analysis and produces data summaries of catalog and curriculum updates to ensure all updates are delivered accurately and on time. Provides input on strategic planning, enrollment management, emergency preparedness, State and federal compliance, core work enhancement, performance management, student record and data management and statistical analysis, presentation, reporting, and outcome assessment.

Serves as essential personnel for continuity of operations planning for the continuation of essential functions during a disaster or emergency.

  • Provides leadership and direction in the areas of course and curriculum code creation and maintenance in the student information system.
  • Collaborates with the academic partners and utilizes the curriculum and course workflow system to manage the review and actions taken on proposals approved by academic councils.
  • Manages a team that builds, modifies and inactivates courses and creates, suspends and terminates degrees, concentrations, majors, minors, and certificate codes in the SIS for all colleges and schools within the university.
  • Ensures and protects the integrity of course and curriculum data in the student information system by continuously seeking reconciliation of data with the state and university units involved in course and curriculum management. Collaborates with the university's State Course Numbering System (SCNS) liaison to resolve issues related to courses and/or the Florida Shine's file.
  • Plans for timely curriculum coding to align with admission cycles to support admission decisioning without error. Ensures receipt of the Provost-approved annual updates of course fees for timely application at the catalog and section levels for the next academic year. Oversees annual review of course-level attributes.
  • Collaborates with the Space & Scheduling team to ensure timely updates to course catalog are reflected on sections for the effective terms.
  • Provides leadership to direct reports on funding codes, distance learning and other course fees on sections. Explores innovations to automate manual processes. Works with other teams or units at the university to coordinate process improvement.
  • Establishes goals, prioritize, plan and review the work of direct reports. Provides a high level of service through new staff onboarding and continuous development and training.
  • Responsible for ensuring confidentiality of student data. Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy Act (FERPA), and other federal and State guidelines. Informs the individuals working with confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use.
