A Day in the Life

Seeking a highly organized, motivated and proactive individual to join our dynamic team. Reporting to the Director of Medical Science, the Project Coordinator III is responsible for providing administrative support, managing project and program activities, and facilitating smooth communication internally and with external stakeholders. The ideal candidate will have strong multitasking skills, excellent communication abilities, and a knack for problem-solving.

Position Responsibilities;

Performs the following tasks with limited supervision

  • Manage calendars, schedule meetings, and coordinate logistics for teams
  • Prepare and distribute meeting agendas, minutes, and follow-up action items
  • Handle correspondence and communication with internal and external stakeholders
  • Maintain organized filing systems for program and project records

A Day in the Life

  • Provides general administrative support for two dynamic Medical Science teams including preparing communications and maintaining team calendars
  • Performs normal office functions such as setting up and maintaining electronic files including OneDrive, SharePoint and Teams; arranging team meetings, team off-sites and conferences; compiles and reports on information relevant to the teams' responsibilities
  • Assist Medical Science Program Managers/Medical Science Advisors on program tracking activities - calendaring, agendas, budget tracking, sending HCP confirmation letters
  • Responsible for coordinating travel and submitting expenses for HCP in relations to programs
  • Proactively works with Medical Science leader to set up meetings/dinners at conferences with Key Opinion Leaders
  • Completes all administrative tasks for Medical Science leaders - reports, expense reports, booking travel etc.
  • PowerPoint contents formatting, etc.
  • Attend and participate in team meetings and training programs as required
  • Domestic travel up to 5% of time.

Must Have; Minimum Requirements:

  • High school diploma or equivalent
  • Experience working with Microsoft office applications, Teams/Zoom virtual conferencing
  • Minimum of 4 years of administrative/project coordination experience

Nice to Have:
  • Experience in pharma, biotech and or/medical devices
  • Demonstrated success in effective interpersonal and communication skills and ability work cross functionally.
  • Demonstrated ability to work with often demanding or difficult clients.
  • Significant experience and success in self-managing priorities and multitasking projects.
  • Strong teamwork/Interpersonal skills.

Salary ranges for U.S (excl. PR) locations (USD):$54,400.00 - $81,600.00

This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).

The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).

The following benefits and additional compensation are available to those regular employees who work 20+ hours per week: Health, Dental and vision insurance , Health Savings Account , Healthcare Flexible Spending Account , Life insurance, Long-term disability leave , Dependent daycare spending account , Tuition assistance/reimbursement , and Simple Steps (global well-being program).

Regular employees are those who are not temporary, such as interns. Temporary employees are eligible for paid sick time, as required under applicable state law, and the Employee Stock Purchase Plan. Please note some of the above benefits may not apply to workers in Puerto Rico.
