Library Specialist - ILL - Internal (Finance)

Responsible for the interlibrary loan (ILL) department - ILL is a transaction between two libraries to lend materials to each other on a short-term basis. The UHV Library conducts ILL on behalf of faculty, students, and staff; This position directs all aspects of ILL; staffing, borrowing, lending, managing the retrieval of items from remote locations, invoicing, compiling statistics and writing annual reports.
1. Manages both the borrowing and lending workflows of the ILL department.
2. Serves as the contact for ILL users in person, via email, and by phone.
3. Compiles monthly and annual statistics and creates reports.
4. Searches bibliographic records, databases, internet, online and document delivery platforms for books, journal articles, and media items requested. Requests materials from available library lenders.
5. Receives materials from lending libraries, checks against requests for accuracy and notifies users of receipt.
6. Processes new requests submitted by borrowing libraries in the Online Computer Library Center (OCLC) database.
7. Manages book retrieval from library shelves and packaging and shipping of books and media. Coordinates the shipping of materials to Katy campus.
8. Receives returned books and media from borrowing institutions and notifies them of overdue materials. Creates and sends invoices for long overdue, lost and/or damaged materials. Receives and processes payment for ILL fees.
9. Recommends policy to eResources Librarian.
10. Manages departmental supplies and places supply orders on behalf of ILL
11. Supervises student worker. 12. Performs other job-related duties as assigned.
Minimum Qualifications: Bachelor's degree and a minimum of (2) years of relevant experience, library experience preferred. Ability to lift 25 pounds and push/pull 50 pounds. Frequent bending and stooping. Valid Texas driver's license required to drive a university vehicle.
Knowledge, Skills & Abilities:
- Broad knowledge of library procedures
- Ability to perform database and internet searching
- Excellent interpersonal skills to interact with faculty, staff, and students
- Excellent oral and written communication skills
- Excellent organizational skills and attention to detail
- Sufficient math skills to process routine accounting forms, maintain bookkeeping records and compile statistics
- Ability to proofread and edit correspondence and reports
- Ability to prioritize own work and meet specified deadlines
- Ability to evaluate and supervise work of student worker
- Ability to work independently, with minimal supervision
PC Skills:
- Proficiency with PC software applications in a Windows environment, such as Word, Excel, Outlook and Teams
- Experience with Adobe Acrobat
- Experience with integrated library systems and databases
